The incumbent has two primary sets of responsibility: (1) overseeing and providing support for the safe dayto-day operation and longer-term planning of upkeep/improve of product development laboratories and instrumentations, (2) managing relationship with lab users to assist with onboarding of a new team or users by providing safety training and handling instrumentations, as well as to assess users’ operational needs and troubleshoot technical issues. The incumbent provides support on implementation of safety/biosafety plans, management of external partners, collaboration on management of other Velocity Incubator spaces and assets (e.g. Hardware lab, and workshop), expense planning, inventory management, supporting strategic planning activities for Manager and Velocity leadership. The Velocity Lab coordinator is accountable to the lab manager for safety, technical and administrative issues.


This role is contingent on funding.


Laboratory Operation

  • Coordinate the care and maintenance of laboratory areas, equipment, workstations, and scientific instrumentations
  • Manage routine day-to-day operation of the laboratories, including supply of materials and chemicals, safety precautions and housekeeping; this may include the testing of solutions and preparations to ensure equipment functions correctly for the specific purposes for which they are intended
  • Set up appropriate group training sessions for specific laboratory operations, and to lead these training sessions with the purpose of resource utilization and effective use of facilities
  • Ensure proper chemical waste, hazardous chemical, and compressed gases handling
  • Manage the online laboratory library to upkeep the resources including SOPs, manuals, guidelines and inventories
  • Coordinate the purchase and receive of the common chemicals, supplies, and parts for the lab to meet the needs of lab users


Health and Safety

  • Support implementing and maintaining proper Health and Safety processes at Velocity labs including
  • Ensure adherence to Health and Safety guidelines by all lab users
  • Upkeep the safety signs and fixtures to ensure proper function and up to date with current guidelines
  • Coordinate monthly inspection of the lab, prepare reports and enforce resolution action items
  • Communicate with lab users on how safely implement changes to work bench/practices to resolve inspection issues
  • Keep proper record of all safety training and certificates as required by the Safety Office
  • Ensures adherence to Health and Safety guidelines by all lab users
  • Serve on the Joint Health and Safety Committee, provide report with inspection records and resolution items
  • Maintain equipment certifications and the associated records
  • Support Velocity administration for monitoring safety control measures in the lab and facility
  • Prepare and maintain current Standard Operating Procedures (SOPs)
  • Maintain first aid kits


Onboarding Process

  • Collaborate with the lab manager on onboarding of a new team to the Velocity Incubator, consulting with space-allocation and resource requirement prior onboarding
  • Lead the onboarding process of the new lab users, review safety trainings, hands-on orientation and training
  • Coordinate onboarding process with administrative team to ensure onboarding all logistics are in place
  • Monitors access of authorized personnel only to the lab by issuing access to the lab users who completed all required safety training
  • Provide in-person and hands-on safety training as well as training on instrumentations before granting access to the lab users
  • Coordinate offboarding processes of teams launching or exiting from the Velocity facility to ensure all chemicals and their belongings are moved out safely, workbenches and storage areas are left behind as started before


Equipment Testing and Handling

  • Coordinate laboratory equipment operation and maintenance by developing or improving Standard Operating Procedures, upkeep with calibration, sterilization, and certification (when applicable)
  • Assembly and testing of new equipment or modification of existing equipment
  • Coordinate communication with technical supports, including but not limited to, for required contract services, parts replacements, and repairs of instruments
  • Be responsible for managing service calls from equipment suppliers and assuring that equipment is maintained in accordance with warranties
  • Develop, upkeep, and implement the SOPs for the best utilization of the resources
  • Coordinate the resources and communal supplies in the lab through inventory management and procurement
  • Support Lab Manager, with technical insights, in major instrumentation procurement and decision making on what best fits the lab needs


Administrative Duties

  • Create and update of online documents associated with management of the laboratories
  • Hold monthly meeting with lab users to asses needs and technical issues in the lab. Keep record and communicate action items
  • Set up and administrate any required laboratory training
  • Keep tracking, recording, and reporting on laboratory and instrument usage
  • Administrate the ordering of new equipment, materials, and supplies
  • Coordinate sending equipment to appropriate vendors for repairs, or arranging service calls
  • Coordinate organization of the setup and dismantling of special equipment
  • Survey the lab for hazards and malfunctions


Relationship Management

  • Sustains cooperation with the University of Waterloo Safety Office, ChemStores, Central Stores any other unit that support Velocity Incubator
  • Hosts tours of the laboratory space by visitors or potential external users
  • Establishes collaboration with lab users, understand the needs and technical issues around the lab, provides support on resolving issue and creating effective lab operation practices
  • Develops constructive relationships with team members, especially those involved in the management of the Hardware lab and workshop



  • Serves as a technical resource person for Velocity team and clients
  • Work with facility coordinator to clean up space and re-arrangement of the facility
  • May supervise co-op students as needed in the lab
  • Serve as a support person in other areas of facility operation as required


  • Post-secondary degree in Science, Engineering or other related fields
  • Laboratory safety training (WHIMS, etc.)
  • Additional laboratory safety and management certificate is a bonus
  • At least 2+ years (post degree) experience developing methods with scientific equipment and management of laboratories and teams; past teaching experience an asset; applications science/engineering is an asset
  • Laboratory management experience in either industry or research settings
  • Working on multiple projects in a cross-disciplinary team, providing support to team members
  • Project management experience (certificate preferred) in multiple projects
  • Experience in risk Assessment and risk management in the laboratory
  • Laboratory operation and best practices, GLP, WHIMS, Biosafety
  • Safety protocols and guidelines
  • Develop and follow standard operation procedures (SOPs)
  • Effective communication (written and oral) and attention to details
  • Fluency in cloud-based systems (e.g. G-Suite, One Drive, etc.), spreadsheets, and project management platforms
  • Knowledge in Laboratory Information Management System is a plus
  • Passionate about science, innovation and technology
  • Self-motivated and resourceful, comfortable working autonomously
  • Additional Safety Requirements: WHMIS 2015, SO2017, Laboratory Safety, SO1010, Employee Safety Orientation, SO1001, Workplace Violence Awareness, SO1081
  • First Aid training not required, but considered an asset
  • Experience working at tech/science startups as a scientist is an asset
  • Heavy lifting is required from time to time and the incumbent must be able to routinely lift approximately 50lbs
  • Occasional travel required to local areas (Waterloo, and GTA)
