The Project Coordinator is responsible for supporting the UW Principal Investigator (PI), who holds a grant for research on the “Global Water Futures: Lake Futures” project, with management activities and administration services. This role includes planning and organizing workshops and meetings, tracking budgets and spending, communicating information and answering administrative questions for various project personnel, editing papers and theses, writing op-eds and communication materials, and the collection of project success metrics related to reporting and knowledge translation activities as specified in research contracts or sponsor guidelines/requirements.

 

This position is contingent on funding.

Responsibilities

Project Coordination

  • Work proactively and with minimal supervision to assist the PI in all aspects of planning. Day to day implementation, and maintenance of project

  • Support implementation of faculty members’ research projects. This may include active support in lab and field activities at the discretion of the PI

  • Understand and adhere to university policies and procedures as they relate to research grants and contracts, financial management, procurement services and human resources

  • Develop understanding of the specific accountabilities associated with the research grant/contract for which project coordination is being provided, and assist PI in ensuring these accountabilities are met

  • Work with PI, project collaborators and UW administrative staff to track spending on budgets for reporting

Undertake specific communication/dissemination requirements for the project, as assigned by PI, for example:

  • Maintaining website

  • Assisting in report writing (e.g. stakeholder reports, annual reports, etc.)

  • Editing papers and writing communication materials and op-eds
  • Organize stakeholder/partner workshops

  • Organize and lead monthly meetings for highly qualified personnel on project

  • Organize and assist in running teleconferences/webinars

  • Coordinate with UW Communications team for press releases and news updates

  • Create and circulate meeting agendas and record meeting minutes

  • Act as reference source for project team regarding general administrative questions

Qualifications

  • Completion of an undergraduate degree required. Either a research graduate degree or equivalent related experience which provides strong knowledge of a research environment is preferred
  • Previous experience in project coordination and administration is beneficial, but not required
  • Exceptional communication (oral and written), interpersonal, relationship building, customer service, negotiation, consultation, presentation, analytical, leadership and organizational skills

  • Strong proficiency with a variety of computer software applications including word processing, spreadsheet, database management and web design software is require

Demonstrated ability to:

  • Assist project lead with management of multiple concurrent sub-projects with different groups

  • Organize (and lead, as required) meetings with internal stakeholders and organize meetings with external stakeholder

  • Communicate effectively with faculty, staff, university administrators, and external partners from a variety of disciplines
