  • Overview

    Term: 3 months 

     

    The incumbent is responsible for faculty and university wide on-campus recruitment events, faculty tours, drop-in visitors, on-campus presentations, the student ambassador team and responding to prospective student inquiries.

    Responsibilities

    Event Management Leader

    • On campus event management: lead, implement and evaluate Faculty/Program specific on campus events and tours, which are included in the overall Faculty marketing and recruitment plan.
    • Create, plan and lead university-wide open house events including, but not limited to, Open Houses, Shadow Days, You@Waterloo Day
    • Recruit and train student, staff and faculty volunteers for events
    • Monitor expenditures to ensure events are delivered on-budget
    • Prepare post-mortem reports on events, including some data and analysis

    Faculty Tour Management

    • Develop and maintain a suite of tours suitable to various audiences, including both physical and virtual tours
    • Conduct tours for various audiences
    • Manage and assign tour requests
    • Train co-op students and/or ambassadors to successfully deliver tours to visiting groups
    • Analyze and report on questions, response times, and participation rates

    Ambassador Team Lead

    • Work with Mathematics Undergraduate Office to recruit current students to be part of the ambassador team.
    • Train ambassadors to be a resource for all event days and faculty specific tour leaders
    • Work with Mathematics Undergraduate Office to provide Letters of Recommendations to ambassadors

    Prospective Student Communications

    • Respond to information requests from prospective students received through various platforms (in person, telephone, email, social media)
    • Participate in the development of outgoing communications to prospective students
    • Analyze and report on questions, response times, and participation rates

    Qualifications

    • University undergraduate degree in a related discipline or equivalent education and/or experience
    • 3 to 5 years of progressive experience performing duties related to the above-mentioned key accountabilities
    • Experience working with current undergraduate students, with proven ability to motivate volunteers
    • Experience working as a peer with faculty members
    • Experience understanding the needs of, and providing alternate solutions for, customers from a diversity of backgrounds
    • Demonstrated experience developing, documenting, and delivering presentations
    • Experience with ambassador or mentorship programs, or peer-to-peer networking programs
    • Proven experience building consensus and fostering teamwork among a variety of stakeholders, within the faculty, across campus and externally with off-campus partners/prospective students
    • Working knowledge of student needs and success factors
    • Demonstrated ability to analyze and report on numerically-based data
    • Awareness of current recruitment trends and the demographic changes that our faculty will face in the coming years
    • Client Service: Ability to meet and communicate service standards, and track client satisfaction
    • Teamwork and Relationship Building: Excellent human relation skills including the ability to develop and maintain constructive relationships with individuals in academic posts
    • Communication: Is able to articulate concepts and content effectively in written multi-page reports. Demonstrated ability to deliver presentations to diverse audiences
    • Managing Change: Demonstrated ability to undergo continual training in matters of changing policy, as well as changing cultural trends
    • Problem Solving: Consults multiple sources for accurate information; notices inconsistencies in available information
    • Planning and Organization: Ability to take ownership for projects of duration of several months; use good independent judgment when priorities are challenged
    • Technical: Excel and Word Basic, mass email systems, social media systems
    • Language: Ability to speak a language common to our international students is an asset
