The Program and Resource Co-ordinator is accountable to the Manager, Residence Life for general program facilitation and administrative duties which support Residence Life’s business processes. This includes functioning as a frontline correspondent within Student Development and Residence Life (SDRL) and liaising with members of the Department of Housing and Residences, as well as various campus partners. As a member of the Residence Life Management Team (RLMT), the Program and Resource Co-ordinator is responsible for administrative duties that impact the programs and services designed for students living in residence. These include, but are not limited to, maintaining student-staff files and databases, planning, executing, and evaluating both student-staff hiring and training, promoting and marketing events and hiring processes, facilitating the organization of student-staff evaluations, and overseeing budget reconciliations for 16 full-time staff and 115 student-staff.



Program Administration

  • Function as a central communication support for the Residence Life program by acting as a first point of contact for students and staff, and provide excellent customer service through general correspondence, phone and email inquiries. The incumbent is expected to consolidate and disseminate campus, departmental, and job specific communications on a regular basis across the Residence Life team
  • Administer termly Residence Life processes including, but not limited to: issuing WatCard meal allowances to 115 student-staff, co-ordinating the purchase and distribution of community programming kits, overseeing over 130 budget reconciliations totalling over $45,000/term, and preparing term calendars. Ensure that Residence Life Co-ordinators, Community Co-ordinators and student-staff are aware of upcoming processes and that
  • requests for information are responded to in a timely manner
  • Respond to the Residence Life General Inquiry e-mail account, responding to all inquiries from campus partners and prospective student-staff
  • Participate in, and contribute to regular Community Co-ordinator, RLMT, and SDRL team meetings
  • Provide support to Housing Department during regular End of Term and Start of Term operations, including end of term room checks and building lockdown between terms
  • Coordinate termly large-scale banquets for the Residence Life team (130 staff) to celebrate individual and team successes.
  • Serve as a member of the Senior RLMT. Contribute to weekly working meetings


Student-Staff Training

  • Co-ordinate two week-long student-staff trainings per annum for an audience of approximately 150 student-staff
  • Prepare and oversee all logistics involved in student-staff training. This includes but is not limited to: coordinating accommodations, meals, and training schedules. Work with Catering and Event Services, liaise with a variety of campus partners to deliver training sessions, and make purchases through external stakeholders. Additionally, the Co-ordinator distributes tasks amongst the management team such as workshop facilitation and holds them accountable to their responsibilities
  • Work collaboratively with a Residence Life Co-ordinator to deliver ongoing training and development opportunities to student-staff throughout their contract

Student-Staff Recruitment

  • Co-ordinate two student-staff hiring processes per annum. Coordinate the review of over 400 applications with the help of the management team
  • Coordinate the interview schedules for new and returning student-staff candidates
  • Offer positions to and oversee contract acceptance and submissions for approximately 150 student-staff annually


Budget Management

  • Make program purchases and oversee reconciliation of Residence Life staff. Accountable to the Manager, Residence Life for budgeting and purchases. Annual expenses that the Co-ordinator is accountable for include:
    • Dons Orientation- $55,000
    • Community Funds- $135,000
    • Banquets- $28,000
    • Printing and Applications- $4000
    • Office and Don Community Supplies- $4,000
  • Miscellaneous program expenses- $15,000

Special Projects

  • Contribute to the Ongoing Training and Development portfolio. Offer monthly professional development opportunities to student-staff by means of facilitation or deferring to campus partners to offer workshops. Chaperone approximately 14 student-staff at the annual Residence Life Conference
  • Lead the student-staff Social Programming Committee
  • Collaborate with Desk Services and Living-Learning to plan joint orientation programming, including meals, social activities, and professional development sessions
  • Provide organizational and administrative support to various department-wide projects
  • Participate on Priority Goal and Objective project teams as requested


  • Bachelor’s Degree or equivalent education and/or experience
  • One or more years as student-staff in Residence Life
  • Experience developing programs to meet student needs in higher education an asset
  • Knowledge of student development theory and student needs in higher education
  • Proven ability to take initiative and be both creative and flexible, with demonstrated ability to work well both independently and as part of a team
  • Strong interpersonal skills and demonstrated ability to communicate effectively both written and verbally
  • Strong facilitation skills, and ability to communicate effectively to diverse audiences, including one on one and in group setting
  • Demonstrated ability to manage a variety of ongoing projects, tight deadlines, stay organized and prioritize effectively
  • Basic proficiency in MS Office
  • Occasional evening and weekend work required, occasional travel for professional development opportunities
