Overview

Term: 2 years

 

This position reports to the Administrative Officer in Civil & Environmental Engineering with responsibility for internal communications, content development, recruitment, and event management. Under the supervision of Administrative Officer, the Marketing and Communications Coordinator is responsible for supporting the execution of the tactical elements of the departments marketing, communications, and recruitment strategies as well as those of the Faculty of Engineering. The Marketing and Communications Coordinator implements a broad spectrum of integrated internal and external communications pieces via a variety of communications channels including by not limited to department website, social media (Twitter, Facebook, Instagram and LinkedIn), print publications, monthly newsletter, and other emerging channels.

 

The Marketing and Communications Coordinator is a content development and management specialist, with exemplary organizational and communications skills, both verbal and written. The coordinator works as a team member to enhance communications practices, specifically for internal audiences (faculty, staff, current students) while supporting external marketing and recruitment efforts by developing strategies to achieve the department’s goals.

Responsibilities

Communications & Special Events

  • Identifies and develops external communication plans that support the engagement of a wide range of stakeholders and audiences
  • Profile research and teaching accomplishments, and donor and alumni contributions
  • Leads the development and implementation of an effective internal communications program to foster increased information sharing amongst the staff, faculty, and other stakeholders
  • Ensures websites are current, with timely news, events lectures/symposia and announcements, and other content that highlights the department’s historical accomplishments
  • Conducts research and interviews, writes, and edits compelling copy for marketing collateral that supports strategic initiatives
  • Writes and edits online content in alignment with digital content writing best practices and web accessibility legislative requirements and provides editorial support for web content as required
  • Establishes a strategy for a meaningful social media presence using a variety of platforms (Instagram, LinkedIn, X (Formerly called Twitter), Facebook, YouTube, etc.) showcasing graduate research and alumni achievements
  • Provides strategic oversight on the use of digital communications to engage the internal and external community including alumni using a variety of tools such as web, social media, video, digital signage, and emerging platforms
  • Implements and leverages the department’s websites, social media and digital signage to grow the department and program’s online presence, reach out to audiences and promote the work of faculty
  • Utilizes photography, video and other visual storytelling tools
  • Liaises with the Faculty of Engineering’s Advancement and Outreach to identify goals and strategies to ensure consistent messaging
  • Support and publicize annual and special events for undergraduate and graduate programs including research and industry guest speakers’ seminars
  • Attends events to compose notes capturing key messages, take photographs and network with attendees to provide content for stories
  • Maintains an exceptional understanding of brand guidelines and promotes a unified look and feel for the department through the creation and maintenance of suites of promotional material
  • Encourages adherence to brand guidelines among faculty, staff and students by fielding questions and providing direction and expert counsel on best practices
  • Advances equity, diversity and inclusion in all materials and efforts in consultation and collaboration with the Equity Office

Recruitment Management

  • Lead tours and events for prospective, current, and incoming students and internal stakeholders
  • Participate in on and off-campus visits that connect with discipline specific departments and organizations as required
  • Create templates, schedules, invitations, and marketing materials to assist in the planning of recruitment events
  • Implement a post-event lead generation strategy, as needed
  • Ensure inclusion of appropriate key messages and compliance with established brand guidelines
  • Provide support to prospective student inquiries via email, phone or in person
  • Work with the Academic Service Coordinators and support with all recruiting events/material

Committees and Meetings

  • Attend Department, Faculty of Engineering, and Marketing and Strategic Communications planning meetings as needed to inform, guide, and make recommendations as they relate to the department and its related activities, as directed by the Administrative Officer

Qualifications

  • University degree in Communications, English, Marketing or a related discipline, or equivalent work experience
  • 2-5 years of experience in a marketing and/or communications role, experience in an educational setting considered an asset
  • Experience developing marketing and communication strategies
  • Knowledge of student recruitment marketing and enrollment management principles
  • Excellent promotional/persuasive writing and storytelling abilities with a demonstrated track record of success
  • Excellent understanding of English grammar
  • Experience with a content management system and best practices for web writing
  • Experience with providing excellent customer service
  • Familiarity with social media (video creation considered an asset)
  • Ability to build consensus and foster teamwork among a variety of stakeholders
  • Excellent presentation abilities (preparation and delivery)
